Frequently Asked Questions

How do I get started with planning my event?
Call us today for an informational meeting! You may also find our Getting Started page helpful. On that page you will find our Conference Planning Worksheet and our Conference Planning Checklist and Timeline that can assist you in beginning to imagine and plan for your next successful event at Brown.

Can Conference Services accept registration and payment for our conference?
Yes! We are pleased to now be able to accept registration and payment online. Please visit our Registration Services page for more information or email us today.

Can Conference Services build our conference website for us?
Yes and no. We can certainly put up a single informational page for your guests that lists program dates and basic information (see here for an example). However, that page will reside within the Conference Services website (using our header), and will not be a stand alone site with its own header and internal navigation.

Does Conference Services Plan off-campus events?
Yes, we can, however we only plan off-site events that are in conjunction with something that is being held on campus. For example, if you are having a four day conference on the Brown campus that includes a one-time off-site banquet, we can certainly organize that for you. On the other hand, if you are planning an event or conference that is completely off-campus, such as in Newport, RI, we would not be your event planners for that conference. You should plan to work directly with the event planner at the conference location where your event is being held. Most hotels and conference venues have someone to fill that role.

Am I required to use Brown Catering for all on-campus food events?
Yes and no. All food-related events must be approved by Brown Catering, however that does not mean that they will always be the caterers for each event. You may decide, for example, to serve food that is not offered by them, such as Indian food or kosher food. Regardless of what food you choose to serve, any outside food vendor coming on to campus must be approved by Brown Catering for health and safety reasons. See here for more details about the Brown First policy as it relates to food and for a list of Brown-approved vendors.

What should I do if I arrive late?
If you arrive after 10pm, you can be let into your room by calling Public Safety at 3-3322 from the yellow call box outside. You may then pick up your room key the next morning in VGQ A at the front check-in desk.

Where can I get a parking pass?
You can purchase a parking pass from the Transportation Office at 194 Meeting Street (Alumnae Hall), First Floor, Suite 004.
