Performance Development & Planning (PDP) Toolkit

Instructions for Supervisors


Performance Development and Planning (PDP) discussions are strongly encouraged to occur throughout the year. Begin to prepare for an individual appraisal conversation by preparing your assessment of your staff. Take time to notify your staff at least two weeks in advance prior to the date of the conversation. Give your staff time to prepare, provide input for the review, and review the assessment categories or ratings. As supervisors, be prepared to provide staff with specific examples of substance and/or comments that support the rationale of the assessment rating.

It is the expectation of the University that supervisors use: 1) the recommended distribution of the entire range of assessment categories and 2) recommended percentages of distribution among the workforce in evaluating their employees. *(Highly Accomplished 10%, Proficient 80%, Developing/Needs Improvement 5%, Unacceptable 5%). Supervisors of staff in the Developing/Needs Improvement and Unacceptable categories are strongly encouraged to consult with Human Resources.
