Generic Job Descriptions

Brown values the role a well-documented job description plays in supporting effective Human Resource Management:

  •    Clarifying responsibilities, expected results, and evaluating performance
  •    Maintaining an equitable compensation system
  •    Ensuring legal compliance

Recognizing that creating a job description can be a time-consuming process we have created some generic job descriptions with similar major responsibilities and qualifications for positions at Brown. Our intent is for staff/faculty to download the generic job description and edit it to correspond to the specific job-related criteria in their department. Please note that while we have included a corresponding grade for each generic job description, the appropriate grade level depends on many factors, e.g., reporting relationships, the extent to which work and decisions are delegated, dimensions, etc. Human Resources will continue to review job descriptions to determine the appropriate grade for new and revised job descriptions.

GENERIC QUALIFICATIONS TABLE

Compensation Services has created a GENERIC QUALIFICATIONS TABLE to serve as a resource for developing well thought out qualifications, and to establish baseline qualifications for work performed at various grade levels. Usually jobs at the same grade in the same job family require very similar qualifications, and qualifications reflect expectations about the results a qualified candidate is expected to produce. After gaining familiarity with the GENERIC QUALIFICATIONS TABLE with corresponding EXPECTATIONS, individuals will be able to complete the qualifications section of the job description within a few minutes by "cutting and pasting" from the table (some minor editing may be needed).

Most regular, non-union, staff positions require some level of computing, math, grammar, and communication skills. However, the level of the expertise will vary based on the specific job. Positions at the same grade in the same job family require very similar qualifications. As jobs increase in level (grade) they become more different than alike and consequently, qualifications become less generic and more specific to the job. Jobs at the same grade, but within different job families are likely to have higher qualifications for responsibilities related to their specific function than for other areas, e.g., you would expect a financial position to require higher-level math skills than an editor/writer position. You may need to cut and paste from various positions to get the right mix of qualifications for the job description you are writing. We have developed qualifications and expectations for Administrative jobs, Grades 4, 5, 6, 7, 8, 9, 10 and will expand this list to include other job families over time.

Human Resources will continue to evaluate all jobs to determine the appropriate grade because other factors impact the job grades, e.g., the size of the department, the scope of the responsibilities, the extent to which the work is described in procedures and/or supervised, and the authority to make decisions and commit the organization's resources.

OTHER THINGS TO THINK ABOUT WHEN DETERMINING JOB QUALIFICATIONS:

  •  Are the qualifications defined too narrowly so as to screen out or exclude applicants who may have broad experience that would enable them to perform the duties of the position? More broadly defined experience expands the pool of applicants.

Is a B.A. or a M.A. really "required"?

Is certification required? Preferred?

Consider the competencies required. Can the knowledge and skills be acquired on the job with specialized training, courses, or seminars? Generally, a year of college translates to two years of experience.

Is University experience really required? The skills applied in a different environment often can be transferred to support work at the University.

Is Word or Excel really needed? Word processing and spreadsheet applications are very similar, so avoid specifying brand software whenever possible.

Preferred Skills. Consider how long will it take to learn required skills/knowledge. Are they essential for performing the work from the beginning, or can they be acquired within a reasonable period of time? If this is the case, these skills should be expressed as desirable or preferred.

Related experience. Essential skills have been demonstrated in a different role or environment, e.g., an Administrative Assistant may have demonstrated the communication skills required for a Customer Service position.

  •  Do the qualifications support the major responsibilities?
Is supervisory experience needed, or could someone who has demonstrated the ability to guide/coach others as a lead and/or who has managed projects perform the work?
Have you required sufficient expertise for successful performance?
Have you required a level of expertise that is too high? Employees can become dissatisfied when work is not challenging.
When replacing a long service employee, consider the experience actually needed to perform the work, not the experience of the prior incumbent.

GRADE 4 - BASIC QUALIFICATIONS
EXPECTATIONS/COMMENTS
High School Diploma and some work experience to acquire knowledge of basic office routines, or the equivalent combination of education and experience Sufficient knowledge to answer telephones, transfer calls and take messages, process incoming and outgoing mail, maintain files, complete and process forms, schedule appointments etc.
Proficiency with basic word processing and spreadsheet skills Setup simple documents, memos, letters, and reports. Prepare documents from hard copy or electronic drafts; Maintain database (s) and run existing reports. Learn new systems and software as needed for effective performance.
Knowledge of basic English grammar, composition, and spelling. Respond to routine inquiries orally and in writing.
Effective communications skills Request and provide information with courtesy and tact.
Basic math skills Complete forms requiring addition, subtraction, multiplication, division, and calculation of percentages.
Ability to work independently and as a team member Responsible for completing assignments. Support others in completing department objectives as needed. Seek guidance on priorities.

GRADE 5 - BASIC QUALIFICATIONS
EXPECTATIONS/COMMENTS
High School Diploma and 2-3 years related work experience to acquire proficiency with most general office routines, or the equivalent combination of education and experience. Sufficient knowledge to respond to inquiries about routine issues and when to refer problems and concerns to other appropriate staff, to process mail, maintain and monitor content of files and databases, setup meetings, arrange for technical/logistical support, make travel arrangements, process, track and file related documents, and research answers to solve work flow questions related to the position.
Computing proficiency with basic word processing, spreadsheet skills and/or database skills, e-mail, and web-searching skills. Produce professional looking documents using time saving functions e.g., merge, tables, track changes, formatting, etc. Create spreadsheets/databases using basic format, edit and function tools, e.g., sum, sort, create simple formulas. Run existing and ad hoc reports. Learn new systems and software as needed for effective performance.
Effective command of English grammar, composition, and spelling

Compose e-mail, edit form letters, and update materials.

Effective communications skills Request and provide information with courtesy and tact.
Basic math skills Assist in preparation of budget and other financial documents; track expenses; check for errors/verify accuracy.
Ability to work independently and as a team member Responsible for completing assignments. Support others in completing department objectives as needed. Seek guidance on priorities.

GRADE 6 - BASIC QUALIFICATIONS
EXPECTATIONS/COMMENTS
High School Diploma and 3-5 years related work experience to acquire mastery of office procedures, or the equivalent combination of education and experience. Sufficient knowledge and related experience to support department programs, services, and constituents including responding to most inquiries, performing and coordinating related administrative tasks primarily involving others in the department and their constituents. Identify and recommend process and procedural improvements.
High level of computing proficiency with basic word processing, spreadsheet skills and/or database skills, e-mail, and web-searching skills. Produce professional looking documents. Highly proficient with a wide range of time saving functions. e.g., merge, tables, track changes, etc. Create spreadsheets/databases using basic format, edit and function tools, e.g., sum, sort, create routine formulas to maintain records and to generate reports and other information that supports decision-making. May provide training and guidance to staff on use of applications, network, hardware, and software issues depending on department structure. Troubleshoot, or escalate to appropriate staff, or arrange for service/repairs. Learns new systems and software as needed for effective performance.
Effective oral and written communications skills

Triage calls, share information, and assist in maintaining effective workflow and working relationships. Draft correspondence and reports; write documentation for job related procedures, etc.

GRADE 7 - BASIC QUALIFICATIONS
EXPECTATIONS/COMMENTS
Bachelor's Degree, or an Associates Degree and 3-4 years experience, or the equivalent combination of education and experience. Sufficient knowledge and related experience to support department programs, services, and constituents including responding to all but the most complex or specialized inquiries, performing and/or coordinating administrative tasks internal and external to the department, anticipating needs and obstacles and problem solving to support successful results. Identify and recommend process and procedural improvements; implement approved procedures.
Very high level of computing proficiency with basic word processing, spreadsheet skills and/or database skills, e-mail, and web-searching skills. Produce and/or provide guidance to others who produce documents, spreadsheets, or databases that effectively support data gathering, analysis, decision-making, and communications. May provide training and guidance to staff on use of applications, network, hardware, and software issues depending on department structure. Troubleshoot, or escalate to appropriate staff, or arrange for service/repairs. Learns new systems and software as needed for effective performance.
Highly effective oral and written communications skills

Probe as needed to ensure responses effectively meet constituent needs. Initiate and draft correspondence, reports, and document procedures. Many positions at this level serve as the central point of contact between senior administrator (s) and direct reports and/or similarly situated internal and external constituents; take notes at meetings, distribute to participants, and follow-up to ensure agreed upon actions are taken.

Math skills. Prepare, or assist in preparation of budget and other financial documents; track expenses; identify, research, and resolve variances. Prepare projections. Create formulas for spreadsheets.

Apply a body of theoretical knowledge, usually acquired through degree granting schools, or a significant amount of practical knowledge gained through experience to perform work involving a specialized field of knowledge (such as accounting, human resources, research, information systems, engineering, communications, etc.) Independently perform or manage complex work that is intellectual and varied and requires the use of judgment and discretion involving relatively significant matters.
Computing proficiency with basic word processing, spreadsheet skills and/or database skills, e-mail, and web-searching skills. Jobs at this level require effective computing skills. The level of expertise is driven by the specific job. Learn new systems and software as needed for effective performance. May train others.
Highly effective oral and written communications skills.

Jobs at this level require effective communication skills to seek out information-probing as needed to clarify inquiries-to prepare oral and written responses that effectively meet constituent needs; uses tact to gain understanding and cooperation.
