Insurance Requirements for Use of Facilities for Events

General Liability Insurance: Brown requires general liability insurance for non-university events held in our facilities for meetings, conferences, sports camps/clinics, weddings or other special functions or events. This requirement can be satisfied by providing a certificate of insurance or by purchasing a general liability insurance policy.

Insurance may also be required for University events:

  • Held at Brown and are co-sponsored with another organization
  • Bring vendors or performers to campus

If you are providing your own general liability insurance:

The acceptable form of this documentation is a certificate of insurance showing evidence of general liability insurance to cover the event and use of University facilities. The certificate of insurance must provide a minimum of $1 million in coverage limits and include Brown University as the certificate holder and as an additional named insured for the event and use of facilities.

The certificate of insurance should be sent, two weeks prior to the event, to:

For any event where liquor is served by someone other than Brown University Dining Services, a certificate of insurance showing evidence of liquor liability coverage must also be provided.

If you need to purchase general liability insurance:

One option you have is to use www.insurevents.com to purchase your event coverage. If you have questions or need help with the application you can contact Sandra Zumbado at 310-216-9152 or sandraz@insurevents.com.

As another option, Brown is enrolled in the URMIA (University Risk Management Insurance Association) TULIP Program (Tenant and User Liability Insurance Policy.) You have the option of obtaining a quote from this plan, or securing a policy independently.

TULIP was designed to provide low cost general liability insurance to users of University facilities through an on-line purchasing process.

Also available through TULIP is summer camps program insurance. (For example, a University coach runs their own camp program over the summer at Brown's facility, and needs insurance.)

To apply for a policy, please visit http://urmia.bene-marc.com.

When you enter the website to purchase theevent insurance, you will be asked to register with an email address and password of your choosing.  You will be asked to create an account if you have not previously used the website.  Once registration is complete, you may move forward to buy the insurance. You will be prompted to enter Brown’s Institution Code: 31051848.

Next you will have to select your event type, including how many attendees and the duration and dates of the event.  Once you enter this information, you will see an order summary of the insurance you will be purchasing including a quote.

The next step is to enter the Event Information and your contact at Brown.   You will also be asked a few brief questions about the risk involving the event.  You will have the opportunity to purchase Liquor Liability insurance as well after answering a few questions.

The application then asks if you need to add any other party as additional insured for your event.  Brown University requires that we are listed as additional insured, and this is automatic at no cost to you.  You will, however be required to purchase Excess Liability (Third Party Property Damage) insurance for your event at an additional cost.

Your application should be complete after this step.  You will need to accept the Order Agreement then go on to enter your credit card payment information.  You will receive an email confirmation of your order. 

  • If your department will be paying for the policy, please contact the Insurance Office at 863-9481 for a passcode that will allow billing.

Note: The requirement listed above is not intended for University sponsored (hosted) activities. However, events that are co-sponsored or that present an unusual or high risk are special circumstances and need to be coordinated with the Office of Insurance & Risk - 401-863-9481.
