Process Projects Underway

eVoucher

The eVoucher project is a web designed, electronic version of the Request for Check form used by departments to request payment on non-Purchase Order goods and services.  It will also be used for reimbursement to faculty and staff for incidental expenses. The eVoucher process would include attachment of required documentation and electronic routing for approval.

Kronos expansion

The Kronos Expansion project includes adding undergraduate student payroll timesheets under the Kronos timekeeping system.  Kronos is currently used to record on-line input and approval of hours worked by employees in Dining Services, the Library, Public Safety and the Bookstore.  Expanding use of this software would enable students to enter hours worked on line and supervisors to approve those hours. Current manual time sheets for students would be eliminated.

On-line Travel Management System

The Online Travel Management System project involves the implementation of a third party travel booking and expense reporting tool to assist in the travel reimbursement processes.  Employees would have the capability to book airfare and other expenses to be used in preparing travel expense accounting and reimbursement. The new system would replace the current manual Travel Expense reporting process.

Electronic Distribution of Labor Reports

The purpose of this project is to convert monthly manual distribution of departmental salaries and benefits to a secure electronic format accessible through a user id and password.  The electronic version will be available in either Excel or PDF format.

ePAF

The purpose of the EPAF project is to replace our high volume, manual, and paper-intensive process that is currently used to add new employees or make employee changes in our legacy HR/Payroll system. The new system would feature a secure electronic data entry form that includes the following functionality: 1) Ability to include and store documents and attachments, 2) Electronic routing and approvals, and 3) Data feed to update our HR/Payroll system. These value added changes in this difficult economy will result in an increase in the efficiency and timeliness of employee personnel action changes that often affect pay and reducing the number of hand drawn checks and late paperwork. It will also enhance security in reducing the use of SSN, which we are forced to use as the employee identifier in our legacy HR/Payroll system. Finally, it affords us an opportunity for business process redesign/optimization at the central HR and departmental level that can lead to efficiencies and cost-savings.

Budget Management, Financial Planning, and Salary Increase System

The goal of this project is to create a comprehensive system or complimentary set of systems that enables all units University-wide to manage these tasks more effectively and efficiently.  In addition, the system(s) would provide additional functionality not currently available, such as the linking of new salary information in the salary increase process directly to the new fiscal year budget creation.   The system(s) would have strong interfaces with the current  (and future) HR/Payroll and Financial systems. The system(s) would replace the existing budget system (Hyperion Pillar), which is no longer supported by Oracle, and the current salary increase procedures, which are hosted on a local server and managed using a Microsoft Access database and Excel spreadsheets.

AutomateD Effort Reporting

The purpose of this project is to develop or purchase a web-based effort reporting system that will allow the University to better comply with federal effort reporting requirements. In addition, a web-based system will more efficiently facilitate the effort reporting process; i.e., the certifying of effort and the ability to plan, manage, and track effort commitments from pre-award, post-award, to close out of a project. 

AutomatED Faculty Hiring Process

The purpose of this project is to evaluate options to automate the faculty hiring process for non-regular faculty positions by utilizing the web-based software solution offered by PeopleAdmin©.  These appointments represent the largest number of faculty hires every year. The majority of appointments in this category are pre-selects (Dean of Faculty 450 per year and BMFA 60-70 per year).
