Equipment List

The CAMR Video Conference Room is equipt to provide visual, audio or combined conferencing.  The CAMR Video Conference Room has a maximum seating of 7, around one round conference table with an additional 4 to 5 guest chairs. It has:

  • Polycom Viewstation FX - details.

  • Polycom Visual Concert FX and wireless microphone - details.

  • Dell Videoconferencing Computer which serves as Smartboard & Netmeeting server - details.

  • Microscoft NetMeeting 3.01 (w/Service Pack 2) - details.

Quick Setup Tutorial

To use the Polycom Viewstation

1. Turn on the TV by pressing power button on it (there's no remote for the TV).

2. Turn on the Polycom Viewstation camera (the camera on top of the TV) by pressing the power button on it.

3. a) To make a video call - use Polycom Viewstation's remote and navigate using the Arrow Navigation Buttons (A on the picture to the left) to the Video Call TV-like icon in the upper middle part of the TV screen. Select it by pressing the Middle Navigation Button (B on the picture). Dial the IP address or the phone number that you would like to connect to - it is important that there is the same equipment on the other end of the connection to accept the call; if there is not, no connection will be made. You will see a button-like image on the screen, which will have either 'IP' or 'Phone #' sign on it, indicating what is expected from you to input. To enter digits, press the corresponding numbers on the remote, to enter a dot ('.') for the IP address, use the Right Arrow Navigation Button. To place the call, press the green button (Dial / Hang Up) on the top of the remote.

3. b) To make a conference phone call using the Polycom Viewstation - use Polycom Viewstation's remote and navigate using the Arrow Navigation Buttons (A on the picture) to the Telephone phone-like icon in the lower right part of the TV screen. Select it by pressing the Middle Navigation Button (B on the picture). Dial the number using the number pad on the remote - contrary to a) you can dial any phone number to use this conference call feature. Several microphones are situated on the table. It is important to know that for international calls you may need to decrease the connection speed which is indicated on the TV screen in another button-like image (and is usually 768 by default). Navigate to it using the Arrow Navigation Buttons (A on the picture), select it by pressing the Middle Navigation Button (B on the picture) and change it to an appropriate lower value.
Note: To place an outside-of-Brown call you will need to dial 8 first and if that is a long distance call you will need to input your faculty authorization number at the end.

4. To accept an incoming call - Polycom Viewstation must be on. It will notify you of any incoming calls and will prompt you if you want to accept it.

 

To use the NetMeeting Software on the desktop PC

1. Turn the monitor on; the computer is usually on all the time.

2. Turn on the overhead projector (this is the ceiling mounted projector), using the its remote control. The remote is the one with red label on the side. Turn on the projector by pressing the purple power button. The role of the projector is to display the computer screen on the whiteboard.

2. Log in using the username and the password provided on the sticker on the PC.

3. All necessary software will automatically load up. You will also notice that the whiteboard (Smartboard) will power up as well.

4. Click the OK button on the starboard driver screen prompt to initialize the whiteboard. You will notice that the desktop of the computer will be displayed on the whiteboard.

5. To place a NetMeeting call, enter the IP address in the field and click on the 'Call' phone-like icon.

6. You can use the whiteboard to draw and write on. Use the provided electronic marker pens that are placed on the board and write with them on the whiteboard as you would use a mouse on the computer screen. Change the marker role by selecting the appropriate ones from the menu in the lower part of the screen/whiteboard.

7. When done you can save your work to a file using the software or the buttons on the whiteboard. Make sure that you take saved files with you; do not leave them on the computer for a long time as they will be removed.

 

To use a laptop with the Polycom Viewstation

1. Plug the laptop into the table top device  according to the chart here.

2. To transmit data, press the play button; to stop transmitting data, press the stop button. You cannot use the laptop to receive data through that setup.

 

Equipment specifics

1. Polycom Viewstation remote:

  • Green Button (upper middle) - dials a number or hangs up.

  • Menu Button (lower left) - brings you in the start state or brings up a source menu when in call. To select another input device at that point, navigate to the desired ones showed on the screen and select one with the Middle Navigation Button. For example you can use camera 4 which is the small camera on the top next to the overhead projector, you can select camera 4 icon from the TV screen, turn on the small camera with the Sony remote - the one with a green power button on the upper right corner - by pressing that green button.
    Also, you can control what that small camera views with the arrows on that remote.

  • Purple Auto Button - puts the camera in tracking mode - it will track the source of sound, e.g. the speaker while he/she walks around the room.

  • Navigation Arrows - move in menus.

  • Middle Navigation Button - chooses a selection.

  • When left on the table, buttons facing up, the remote goes into sleep mode and powers the Polycom Viewstation camera down in 5 mins.

2. Overhead projector remote:

  • It is the one with a red label on the side.

  • Use it to turn on projector by pressing the purple power button.

  • The overhead projector is used to display the computer screen on the whiteboard.

3. Electronic whiteboard

  • It is the one right next to the Polycom Viewstation, on the west wall.

  • It turns on when the computer is turned on and someone logs in.

  • You MUST write on it only with the provided electronic pens. Do not use regular markers on the whiteboard's surface.

  • It has several useful buttons - save, clear etc.

If you experience any problems with the setup, try restarting the Polycom Viewstation by pressing the power button on the camera on the top of the TV.
