Voice Mail At Brown University
Brown University is committed to quality in the services we provide
our community. The way we answer our telephones should promote a
personal and friendly image of the University. People, rather than
technology, will be the first line of contact at Brown whenever
possible.
Voice Mail is a form of technology that has numerous applications
for departments and individuals. Voice Mail provides an added level
of support needed in some areas, especially during busy periods,
such as the opening of school and vacation time. The function of
Voice Mail is to support people, not to replace them.
When used properly Voice Mail will:
- Increase productivity
- Improve internal and external communications
- Promote a positive image of the University
- Reduce the amount of time spent on the telephone
- Be accessible every day, 24 hours per day
- Assure exact message content
- Be completely confidential with password security
In Brown's use of Voice Mail, the caller, by dialing "0",
can speak to a person if they choose not to leave a Voice Mail message.
What is Voice Mail?
Voice Mail is a computer based means of communication. All messages
are sent in the original voice of the sender using a standard Touch
Tone® telephone.
Voice Mail offers more features and flexibility than a regular
answering machine. In a single call to Voice Mail, you can send
messages to others, pick up messages sent to you by subscribers
or outside callers, reply to messages, and send a copy of a message
to someone else. You will have a continuous flow of complete and
confidential information at your command. No one else can listen
to your messages, since a personal password protects your Voice
Mail.
You may use Voice Mail to send messages to other individual subscribers,
or groups of subscribers, without calling them directly.
Policies and Procedures
Use of the Voice Mail system is in harmony with the laws, rules
and regulations that govern other computing activities at the University.
In particular, commercial or political activities that would jeopardize
the University's tax exempt status are prohibited, as are activities
that are illegal or create legal or financial liabilities. Included
here are activities that may constitute copyright infringement,
libel, obscenity, or theft of services. Use of the Voice Mail system
must not jeopardize the agreements under which the University participates
in various electronic networks or the licenses and contracts that
govern the use of computer hardware and software.
The University requires all users of its Voice Mail facilities
to practice ethical behavior in their Voice Mail activities. Unethical
behavior violates University codes and may result in termination
of this service for that user.
Restrictions regarding departmental and individual use of Voice
Mail are defined as follows:
Department Telephone Extensions may only be forwarded to
Voice Mail after business hours. The greeting must clearly state
the department name (not an individual's name).
Personal Telephone Extensions may be forwarded to Voice
Mail after 3 rings and/or if busy. The greeting must clearly state
the caller's ability to reach a person by pressing [0] during
business hours.
All Departments and individuals must use the Voice Mail Personal
Greeting (not the standard greeting). In the personal greeting
let the caller know why you are not answering, when they might reach
you in person and how to contact another person for assistance.
Voice Mail System Administrator
The Voice Mail System Administrator is located at Davol Square, Box 1824, x3-3374.
Call for information on Voice Mail services and how they operate,
to order Voice Mail, to report problems with service, or to get
help with using Voice Mail.
Voice Mail Departmental Contacts
Voice Mail department contacts were established to improve communication
regarding Brown University's Voice Mail system. The designated person,
or persons, will receive all pertinent correspondence concerning
new system features, troubleshooting concerns and emergency policies.
The intradepartmental distribution of this information is handled
at the discretion of these official contacts. If you have any questions
concerning who may be the contact(s) for your department or, if
you wish to change the existing contact, please call the Voice Mail
System Administrator at x3-3374.
To Subscribe
Call the Voice Mail System Administrator at x3-3374. The System Administrator will provide you with a Voice Mail
subscription packet. Fill out and return the Brown University Voice
Mail System User Agreement form. Be sure to include an authorized
signature and the "0" position number (a general
number in your department to which calls are routed if the caller
requires immediate attention). Upon receipt of this information,
your Voice Mail will be activated and you will be contacted with
an initial password.
To Cancel a Subscription
If you have Voice Mail and no longer want to use it or are leaving
the University, please call the Voice Mail System Administrator
at x3-3374. The System Administrator will send you a deletion form
to be filled out and returned to the CIS-Communications Office.
To Change a Subscription
If you change telephone extensions, please call the Voice Mail
System Administrator at x3-3374. The Administrator will change your
Voice Mailbox number to coincide with your new extension number.
Your original Voice Mail (including your greeting, messages and
personal password) will remain intact and move with you if the System
Administrator is notified in advance.
How Voice Mail Works
Using Voice Mail
Voice Mail has its own telephone number. You can call Voice Mail
from any phone (on or off campus) with a Touch Tone®
keypad. You can also forward your phone to Voice Mail, so it will
answer if you are on your phone or if you do not answer.
Your Mailbox Number
Your Voice Mailbox number is usually the same as your telephone
extension. Certain circumstances (i.e. two individuals sharing one
extension) require a separate number to be assigned as a Voice Mailbox
number. These cases are rare and the Voice Mail Administrator will
explain when necessary.
Initial Tutorial
The first time you call into Voice Mail it will play a two minute,
on-line tutorial which will require you to:
Record your name (for easy identification)
Change your password Your initial password will be provided
by the System Administrator.
Record a personal greeting (Press [2], for a Personal
Greeting)
It is helpful to write out a greeting beforehand and be sure to
tell the caller to press "0" to reach a person.
Note Be sure to listen to the complete tutorial, otherwise
the system will play it for you every time you access your Voice
Mail.
Using the Keypad
You select Voice Mail options and enter information with the keypad
of any Touch Tone® phone. In this guide, square brackets denote
the keys that you press to select menus and options. The [*]
(star) and [#] (pound) keys have special functions in Voice
Mail.
Prompts and Menus
Voice Mail's functions and options are organized into a hierarchy
of menus. Once you are connected to the system, Voice Mail leads
you through the options, and tells you what keys to press to select
them. The Main Menu is the first menu you hear upon entering
your Voice Mail. >From this menu you select other menus and options,
some of which may be two or three levels away from the Main Menu.
When a menu description begins, you do not have to listen to all
options before making a selection-just press the key for the option
you want as soon as you hear it. If that option requires moving
through two or three menus, you can press each of the proper keys
in succession without waiting for the system prompts.
Prompt Levels
There are three levels of prompts: Standard (guide you through
the basic Review and Send features), Extended (give
more detailed instructions and prompt you for use of all features),
and Rapid (cover all features, but are very brief). New subscribers
begin using the system with Standard Prompts which prompt for only
Review (press 1) and Send (press 2) at the Main Menu.
Locate Messages (press 3) and Personal Options (press
4) are available to you but you will not be prompted for them. As
soon as you are comfortable with the basics, you may want to use
Extended Prompts to hear prompts for all options.
To change prompt levels

Accessing Your Voicemail
From your phone
Dial the voice mail number(x3-9000); when the system answers, enter
your password using your Touch Tone® keypad. You will now be
at the Main Menu.
From any other campus phone
Dial the voice mail number(x3-9000); when the system answers, press
[*]; enter your Voice Mailbox number using your Touch Tone®
keypad; enter your password using your Touch Tone® keypad. You
will now be at the Main Menu.
From off campus
Dial the voice mail number; when the system answers, press [#];
enter your Voice Mailbox number using your Touch Tone® keypad;
enter your password using your Touch Tone® keypad. You will
now be at the Main Menu.
Forwarding Your Phone to Voice Mail
Forward All Calls [*][7][2]
Use this feature if you are going to be away from your desk, or
before you leave for the day.
- Pick up handset
- Press [*][7][2]
- Listen for the second dial tone
- Dial the voice mail number
- Listen for confirmation tone (three short tones, one long tone)
- Hang up, your calls are now automatically forwarded to Voice
Mail
To Cancel this feature:
- Pick up handset

Forward Don't Answer [*][7][3]
Use this feature to forward calls to Voice Mail after 3 rings.
If you would like to have the amount of rings increased, we can
program the phone to ring up to 6 times before forwarding.

- Hang up, your calls are now forwarded to Voice Mail after 3

Use this feature to forward calls to Voice Mail when your line

Reviewing Messages
Message Waiting Signals
On a single-line set, message waiting indication is an interrupted
dial tone (this will not interfere with normal use of your telephone).
On a multi-line set a feature key (selected by you) will light when
a message is waiting.
Message Review
You listen to your messages one at a time. Messages that are tagged
"urgent" will be played first, otherwise messages are
heard in the order in which they are received. You have a number
of options available to you while reviewing a message and after
you have listened to each message. The next message is played automatically.
Your Voice Mail has the capacity to hold a total of twenty-five
messages and can get full, therefore you should routinely erase
unneeded new or archived messages.
- Access your Voice Mail
- Press [1][1] (hear new, unheard messages - those
that have been left during or received since the last session);
or
- Press [1] (review all messages in the order they
were received)
- Listen to the message (using playback controls if desired)
- At the end - reply by messaging, reply by calling, replay, get
envelope information or send a copy of the message (if desired)
- Press [7] (erase); or
- Press [9] (save)
- Press [*] to return to the Main Menu or exit
Note You will hear the prompt [1][1] throughout the
message review process if a message is skipped or if new messages
arrive while you are in your Voice Mail. These reminders are to
keep you from accidently skipping or forgetting about important
messages.
Options while listening to a message
Message playback controls While listening
to a message you may rewind to the beginning or forward to the end
of a message; pause or resume playback; or increase the volume or
speed of message playback. Use the following commands on your Touch
Tone® keypad:
[1] rewind ten seconds
[1][1] rewind to the beginning
[2] pause (press [2] again to restart)
[3] fast-forward ten seconds
[3][3] fast-forward to the end
[4] slow down playback (two levels)
[5] envelope information (the date, time and sender)
[6] speed up playback (two levels)
[8] normal volume
[9] louder volume
Envelope information
You can obtain envelope information while listening to your message
by pressing [5] (this option is also available after you
have listened to a message). You will hear the date and time the
message was sent, the message length, and who sent the message:
If the call is internal (someone with Voice Mail on the University
system), the name of the person and their Voice Mailbox number is
announced; if the call is from off campus or from someone without
Voice Mail, the call will be announced as an "outside call".
Skipping a message
You may skip to the next message at any time while you are listening
to a message, by pressing [#]. Any message you skip remains
available for your review later. After playing all of your new messages,
the system automatically plays your skipped messages (messages skipped
after listening for 2 seconds or more during the current session)
and then your archived messages.
Skipping to archived messages
At any time during your review of new messages you can skip to
archived messages by pressing [#][#]. Archived messages will
be saved for thirty days from date of delivery. After thirty days
a system recording will appear in your Voice Mail with the option
to replay, erase or re-save the original archived message.
Canceling review of messages
You may cancel message review at any time while listening to your
Voice Mail messages by pressing [*]. Any message not completely
reviewed will remain a "new message".
Options After Listening to a Message
Reply by messaging
After listening to a message, you may reply by sending a Voice
Mail message directly into the sender's Voice Mail without having
to enter his or her Voice Mailbox number.

Note Replies cannot be sent to outside callers.
Reply by calling
After listening to a message, you may immediately call back the
person whose Voice Mail message is being played.

- At the end, press [8][8]
- The Voice Mail system will log you out of your Voice Mailbox
and transfer you to the caller's extension
Replaying a message
After listening to a message, press [4] and you can replay
the message in its entirety.
Envelope information
After listening to a message, press [5]to hear the date
and time the message was sent, the message length, and who sent
the message (this option is also available while listening to a
message).
Send a copy to someone else
After listening to a message, you may send a copy of it to another
user. You must add your introductory comments to the original message.
This feature is useful when you receive a message that can be handled
by, or should also be heard by, another user. You may send a copy
of any message unless it has been marked "Private" by
the sender.

Erasing or Saving the original message
When you have finished listening to a message, or after replying
or sending a copy, you must decide whether to erase the message
or save it in the archives.
Erase Once you erase a message, it cannot be retrieved.

Save Messages are saved for thirty days from the date
of delivery. After thirty days a system recording will appear
in your Voice Mail with the option to replay, erase or re-save
the original archived message.

- Press [1] if you wish to review what you have recorded
- Enter the destination Voice Mailbox number
- Select delivery options (if desired), press
[1] Private - this prevents the recipient from sending
a copy of the message to another user.
[2] Urgent - allows the message to be reviewed by the
recipient before all other new messages.
[3] Confirmation - to receive notification that the
recipient has listened to your entire message.
[4] Future Delivery - sends up to 5 messages, 30 days
in advance.

Note Near the end of your allowed recording time, you will
hear two beeps. At that point, you have about 10 more seconds to
record.
Spell by Name
If you can't remember a subscriber's Voice Mailbox number, you
may address the message by spelling that person's name using your
Touch Tone® keypad.

Example: Jones, Bob is entered as 56637262.
Voice Mail only requires entry of digits/letters until it uniquely
identifies the user. If a unique match is not found after spelling
the subscriber's last name, and there are less than four options,
Voice Mail presents the options available. If more than four options
exist, Voice Mail will ask you to continue spelling the subscriber's
full name until it can uniquely identify the match.
Group Distribution Lists
For sending messages to the same group of people on a regular basis,
group distribution lists can save you time. These lists provide
a way of storing up to 25 Voice Mailbox numbers per list, then sending
messages to all members of the list with a single two-digit destination
number. You can create new group distribution lists, delete lists,
or review and modify existing lists.
Creating a Group Distribution List
- Access your Voice Mail
- Press [4] (personal options)
- Press [2] (administrative options)
- Press [2] (group lists)
- Press [1] to create a group list

(Press [4] to review/rename lists)
- Enter a 2 digit number (11 through 25, see Note below)
- Say the name for the list (For example, "Communications
Office")

- Enter the Voice Mailbox of each person you want on the list
- Press [*] to return to the Main Menu or exit
Note You are allowed to make up to 15 group lists (numbered
11 through 25) each with up to 25 Voice Mailbox numbers.
Send a message to a Group Distribution List
- Access your Voice Mail
- Press [2] (send)
- Record the message
- Press [#]
- Enter the 2 digit Group Distribution List number (example, "11"
for "Communications Office")
- Press [#] to send the message
- Press [*] to return to the Main Menu or exit
Locate Messages Sent
At any time after you have sent a message to a user, you may check
his or her Voice Mail to see if the recipient has listened to your
message.
- Access your Voice Mail
- Press [3] (locate messages)
- Press [1] (locate messages sent)
- Enter the Voice Mailbox number to which you sent a message.
Voice Mail will play each message from you in that Voice Mailbox
that has not been listened to by the recipient. You may press [#]
to skip past one message and move to the next.
Locate Messages Received
You can specify which messages (new and archived) you want to listen
to by defining the sender.
- Access your Voice Mail
- Press [3] (locate messages)
- Press [2] (locate messages received)
- Press [1] to locate messages from a specific subscriber.
Enter the subscriber's voice mailbox number or spell the name,
or
- Press [2] to locate messages received from outside callers.
Your Greeting
Once you have completed the initial tutorial and recorded a personal
greeting, you can change this greeting to meet differing call-coverage
needs. You can record two separate Voice Mail greetings to tell
callers whether you are away from your desk ("no answer")
or on your phone ("busy"). If a "busy" greeting
is not recorded, the "no-answer" greeting is the default.
You can also create a special extended absence greeting for those
times when you are away and may not be checking your Voice Mail.
Your Voice Mail greeting is an important communication link between
you and the caller. For this reason, change your greeting frequently
to reflect your activities.
To change your "No Answer" greeting:
- Access your Voice Mail
- Press [4] (Personal Options)
- Press [3] (Greetings)
- Press [1] (Personal Greeting)
- Press [2] (Record Personal Greeting)
- Press [1] (Record personal greeting that will play to
callers when you are away from your desk)

callers when you are on the phone)

Greeting Suggestions
Mention your first and last name (or department name), why you
are unavailable (for example - in a meeting all day), and give the
caller the opportunity to speak to a real person by pressing [0].
Remember to record in a noise-free environment. Voice Mail is very
sensitive to background noise. Your greeting should be personal
and professional with clear and concise language (without profanity
or background music).
Extended Absence Greeting
If you plan to be away and will not be checking your Voice Mail,
you can record an extended absence greeting that is played to callers
in place of your regular greeting. This will not allow any messages
to be left in your Voice Mail. Tell callers that you are away
and when you will return and to press [0] if they need further
assistance (you may also refer them to another phone number).
Before you leave Recording an extended absence greeting
is a separate procedure than the procedure for changing your personal
greeting. Your regular greeting remains intact, however the extended
absence greeting overrides it. For this reason you should not record
the extended absence greeting until just before you want it to go
into effect.

When you return When you return and access your Voice Mail,
you are reminded that your extended absence greeting is active.
- Press [1] to retain the extended absence greeting and
continue overriding your regular greeting, or
- Press [2] to delete the extended absence greeting and
therefore automatically restore your regular greeting.
Your Name
Your name is played to confirm your Voice Mailbox number whenever
someone addresses a message to you. You have already recorded your
name during your first entry into Voice Mail. You can change your
name whenever you choose.

Your Password
Voice Mail requires that you enter your personal password number
whenever you want to gain access to your Voice Mail. This prevents
unauthorized persons from using your Voice Mail and protects the
privacy of your messages. During the initial tutorial the system
requires that you replace your temporary password with a permanent
one of your own choosing. Choose a number easy for you to remember
but hard for others to guess. You may change your password at any
time after the initial tutorial.
The Voice Mail system will prevent you from using a simple, easily
guessed (trivial) password. To avoid a trivial password, follow
these guidelines:
- A minimum of 4 digits and a maximum of 15 digits
- Cannot begin with the number "0"
- Cannot match your extension number
- Cannot have sequential digits (example: [1][2][3][4])
- Cannot have repetitive digits (example: [2][2][2][2])

If you forget your password, it can not be retrieved by
anyone. Call the Voice Mail System Administrator at x3374 immediately.
Guest and Home Passwords
You can assign up to two guest passwords and one home
password to persons who are not subscribers, but with whom you
wish to exchange messages via Voice Mail. Persons with guest and
home passwords can leave messages to, and receive them from, you.
A home Voice Mailbox is like a guest Voice Mailbox except that messages
left by the home password holder are heard before all other messages.
Guest and home password holders have access only to the messages
you leave for them; they cannot get access to other messages in
your Voice Mailbox.

Sending a Message
You send messages to your guest and home Voice Mailboxes by using
the normal procedure. Enter the following destination Voice Mailboxes
at the appropriate step in the procedure:
- [91] for the first guest Voice Mailbox
- [92] for the second guest Voice Mailbox
- [93] for the home Voice Mailbox
Using the Guest or Home Services
Those designated by you to use a guest or home password will follow
this procedure to hear messages from you, and to leave messages
for you.
- Access your Voice Mail
- Enter their guest or home password
- If any messages have been left from you, they will be played
automatically
- Press [1] to replay the message, or
- Press [2] to delete the message and continue
- Press [1] to exit, or
- Press [2] to record a message
- Press [#]
Bulletin Broadcast Message
What Is It?
A Bulletin Broadcast message is sent to all Voice Mail subscribers
by the Voice Mail System Administrator. These messages are a means
of distributing important information concerning the maintenance
schedule of the Voice Mail system. A Bulletin Broadcast message
is heard immediately upon accessing your Voice Mail.
Listening to Bulletin Broadcasts
When a Bulletin Broadcast message is played, you must delete or
save it. If you simply disconnect, the bulletin will play every
time you access your Voice Mail until you either delete or save
it.
The options available to you after you have listened to the Bulletin
Broadcast message are:
- Replay: to replay the message, press [4]
- Save: to save the message in the archives, press [9]
- Delete: to delete the message, press [#], then
press [7]
Advanced Applications
Brown University's Voice Mail System offers a service providing
special applications that allows callers to listen to recorded information
or select further routing of their calls. This feature is particularly
useful when a high volume of callers routinely ask for standard
information (hours, applications, catalogs, etc.).
Menu Applications
These present callers with a menu of choices that directs them
to personal telephone extensions, voice-messaging (personal) mailboxes,
information boxes listing specific information, or forms mailboxes
in which they answer a series of specific questions.
Information Boxes
These greet the caller with pre-recorded information about schedules,
hours, activities, etc. Information boxes do not allow the caller
to leave a message.

Hints and Tips for Personal Voice Mail

listening to it.

It is possible to record a telephone conversation on voice
mail as part of an unintentional Three Way Call . The recording
could take place if a person does not disconnect a call completely,
and creates a third party call (i.e. a conference call). To
avoid this scenario, when disconnecting from a telephone
call (or an attempted transfer) firmly hold down the switchhook
for several seconds before making another call or returning
to your original call.

You can interrupt most prompts if you know what you
want to do. You can even enter several menu selections at once
to reach a desired option or feature.

To listen to someone's voice mail greeting without calling
the extension directly (i.e. to hear what your own greeting
sounds like): dial 3-9000, when the system answers, press
[*][*], enter the Voice Mailbox number-the greeting will
play for you and you will be allowed to leave a message.

To transfer a call directly into someone's voicemail: follow
the procedure to transfer calls from your phone (from a single
line phone depress the switchhook; from a display phone press
the transfer or "3 way call" key) dial 3-9000,
when the system answers, enter the Voice Mailbox number, the
greeting will play and the caller will be able to leave a message.
Be sure to disconnect (i.e. hang up) so a three way call is
not created.

If you hear "Sorry, your having trouble",
it is because you have exceeded a certain number of errors or
have requested "help" (pressed [0]) several
times. Don't get discouraged. Look in the user guide for more
information or call the System Administrator at x3374.
