Imaging Services

The Library assumes that an order for a photographic or digital image of any item in the collection is for personal use only. If the image is to be publicly distributed in any form or medium – print, photocopy, digital, video, etc. – special permission fees will apply and the John Carter Brown Library must be formally and prominently credited. For information about permissions see the heading Reproduction Fees, below.

Requests are generally filled in order of receipt. Normal turnaround time could be weeks, depending on workload and the size of the order. Every effort will be made to honor deadlines, but delays do occur. Rush service is sometimes possible, on request, for a 100% surcharge.

Fragile items will not be photographed.

All work is billed to the customer when the completed order is shipped. Payment is due upon receipt. All sales are final.  Fees and charges are subject to change without notice.

All image orders must be submitted using our Image Request form. Completed Request forms may be sent to the JCBL via e-mail, fax, or surface mail.

DIGITAL SCANS AND PRINTS

The library uses a Cruse Synchron (CS 130/220SL) large-format table scanner featuring cold-cathode illumination.

Disc Images
For each image on disc ordered, we provide one 300 dpi TIFF image for reproduction, and one 72 dpi JPEG image for quick reference.

  • Digital scan to disc : $ 25.00 each

  • Digital file to disc from existing file: $ 15.00 each

E-Mail Images
Low resolution (72 dpi, JPEG) images for reference via e-mail.

  • Digital scan to e-mail from existing file : $ 10.00 each

Black and White Prints

  • 8½ x 11 inch black and white digital print from new file: $ 45.00 each
    ($ 25.00 initial scan, plus $ 20.00 for print)

  • 8½ x 11 inch black and white digital print from existing file: $ 20.00 each

  • Additional 8½ x 11 inch black and white print same digital file requested at the same time: $ 12.00 each

Color Prints

  • 8½ x 11 inch color digital print from new file: $ 50.00 each
    ($ 25.00 initial scan, plus $ 25.00 for print)

  • 8½ x 11 inch color print from existing file: $ 25.00 each

  • Additional 8½ x 11 inch color print from same digital file requested at the same time: $ 15.00 each

 

SLIDES
We will prepare digital scans and put them on a compact disc for conversion to 2 x 2 inch mounted slides. It is the patron's responsibility to take the supplied disc to a professional color film lab providing E6 color processing.

  • Initial scan: $ 25.00 each

  • Prepared image to disc: $ 5.00 each

  • Prepared image to disc from existing digital file: $ 5.00 each (minimum $ 10.00)

 

35 mm MICROFILM
35 mm Microfilm is the least expensive method of copying a quantity of rare materials. The Library's policy is to film items in their entirety except in the case of separate bibliographic entities fortuitously bound with unrelated material. In such cases, one bibliographic entity within the binding may be filmed. For example, the Library will film vol. 2 of a 3-volume set, or a monograph in a series, or a separately published pamphlet bound with other separately published pamphlets. Unless special arrangements are made, the Library will retain all negatives; patrons receive a positive copy of the film. If more than one item is requested, the Library will often send all items together on one roll with enough space between for convenient future separation.

It is possible to convert microfilm into paper copy through the “copy-flo” process. One company in New England that prepares hard copy from microfilm is Micro Image III, 196A Elm Street, Everett, MA 02149. Telephone 617–394–0036.

Microfilm costs
The minimum microfilm charge for newly filmed items is $ 75.00, which covers up to 150 frames. The charge thereafter is $ .50 per frame. Except for large books, a frame usually covers a two-page spread. Postage and packaging costs will be added to the fee.

Positive duplication of an item that has already been filmed costs $ 55.00, plus postage and packaging.

Please allow 8-10 weeks for the completion of your order.

Special permission fees apply to microfilm copies made for commercial purposes.

 

OTHER CHARGES

Curatorial Fee
Any unusual staff help needed to execute an order, or the preparation of pieces unusually difficult to photograph or microfilm, may incur an additional charge of $ 25.00 per hour.

Packaging: $  5.00.

Postage
Minimum: U.S. $ 2.50; Canada $ 4.50;
other international $ 7.50.

 

PUBLICATION FEES:
The John Carter Brown Library is a non-profit institution largely dependent upon its own endowment for operating funds. To make possible the continued growth of the collection, from which everyone benefits, and to maintain a satisfactory level of service to scholars and to the general public, the Library must augment its income from a variety of sources. One of these sources is fees for the commercial use of images from the Library’s collection.

The Library retains copyright over any images from the collection that it distributes. Any reproduction of these images, in any form or medium—print, “xerographic,” video, digital, photographic, etc.—for whatever purpose is illegal without the Library's permission. Permission must be requested in writing from the Librarian using our Request for Permission to Publish form.

Ordinarily a fee will be charged for publication, according to the schedule below. Each item must carry the following credit line exactly as stated: “Courtesy of the John Carter Brown Library at Brown University.” The Library may request a copy of a work that incorporates material from its collection.

For orders of 5 through 10 images, fees will be discounted 10%. For orders of more than 10 images, fees are negotiable. For entirely non-profit, non-commercial uses, fees may be waived at the discretion of the Librarian.

Digital Formats
The Library requires a written statement indicating the express purpose for which the image is being requested. In particular, we wish to be advised as to whether the image is for personal use only or whether it will be mounted on a web site accessible to others beyond the borrower. If the digital image is to be printed out as hard copy or converted into a plate for a printed version, we wish to be advised of that purpose before the image is delivered. Images requested in digital formats may not be distributed in “hard copy” or print formats without prior notice to the Library. We need to know, as well, whether the purpose for which the image is requested is scholarly or commercial, non-profit or profit.

Microform Collections
Commercial distribution of microform copies of books or other items in the JCB collection: $ 100.00 per item

This fee does not include permission to make and distribute for sale a facsimile edition on paper of the microform version.
