This is intended to display as empty space so that the MANUAL OF POLICIES AND PROCEDURES

Editing Imported "Fastcat" Records

1.       Retrieve the record. Use title search or next most efficient search. Be alert for duplicate records.

2.       Check and verify export status of the MARC record. The 03 Location field (located at the top of the bibliographic record) should have the value "nnnnn."

3.       Enter [E] to edit bibliographic record.

4.       Enter [F] to activate full screen editor.

5.       Enter [Control F] to display full menu.

6.       Tab down to 040 field (Cataloging source) and enter the library's symbol (RBN) preceded by the subfield "d" as follows:

          example: 040 DLC|cDLC|dRBN

7.       Copy the text of the 050 field (Library of Congress call no.): block text by entering [Contrl B] and tab twice until call no. is blocked; enter [Contrl B] to end block.

8.       Create 090 field: place cursor below 050 field; enter [Contrl N] to create the new field and enter field tag "090"; paste the LC call no. from the 050 field on to the new field by entering [Contrl P].

          note: for oversized items, insert subfield "f" and the oversize designation at the beginning of the 090 field (e.g., |f1-SIZE|aNC6320|b.R68x 1999)

9.       Edit the overall text of the bibliographic record to correct any obvious errors (i.e., misspellings, MARC tags & indicators, etc.). Remember to add the 599 field (local note) if you have a multi-volume set.

10.     Insert 995 (cataloger's/inputter's initials; enter [Contrl N] and input field tag and field info.

11.     Enter [Contrl E] to get out of full-screen editor. (note: the system will then display the message "Is this call number indexed (y/n)?" to which you should always enter [y]

12.     Enter [V] to verify MARC codes. (The Innovative system will identify any encoding problems. Correct errors as needed)

13.     Enter [H] to verify headings. Verify uniform titles and series headings only. Determine whether these headings have been established or not by checking their index status (i.e., enter the number to the left of each heading to access the index). If an authority record is not present in Josiah, search the LCNAF at Innovative by entering [A]

          To import a record from Innovative to Josiah: 1) enter [A] and then [O] to add the record to Josiah; 2) when the system displays the message "Index this record as a name or a subject (n/s)?," enter the appropriate response; 3) enter [Contrl E] to get out of the edit function; and 4) enter [O] to complete the process of adding the authority record to Josiah. Create a local authority record for each heading that has not been established nationally (LCNAF) or locally (Josiah)

14.     Enter [Q] to exit out of Index Status of Headings.

15.     Verify the following Innopac fixed fields (located at the top of the bibliographic record):

          01 LANG

          02 SKIP

          08 COUNTRY

16.     Edit the following Innopac fixed fields:

          03 LOCATION

          04 CAT DATE (input current date)

          07 SUPPRESS (change from "-" to "u")

17.     Enter [E] to access and edit item record:

          01 COPY (system defaults to "1")

          04 I TYPE (enter "020" for oversized art materials)

          18 LOCATION (enter location code)

          27 NOTE (delete "date of receipt and location" note)

          note: to add fixed-field for multi-volume items, enter [I] to insert new field, enter [V] to insert "volume" field, and then add volume information as required.

18.     Enter [Q] to quit out of record.

19.     Enter [M] to make changes to item permanent.
