Residential Council Minutes :: March 31, 2009

Present: James Reed (Chair), Greg Anderson (Policy Chair), Mark Fuller (Program House Chair), Ben Lowell (Lottery Chair), Jillian Robbins (Secretary), Sophie Asher, Jerry Cedrone, EJ Chung, Rachel Kahn, Chaz Kelsh, Adam Lewin, Courtney Mannino, Sara Sunshine, Andrew Tan, Jane Zhang

We have new new members!

  • Introductions!
  • Our 4 new members:
    • Rachel Kahn, Courtney Mannino, and Sara Sunshine will be serving on the Program House Committee
    • Andrew Tan will be serving on the Policy Committee

The first night of Lottery is this Thursday!

  • Students will enter the main hall, where there will be tables with floor plans
  • ResCouncil members will be at the table, answering questions that anyone may have
  • ResCouncil members will also be walking around the back of Sayles to answer general questions
  • The line to select a room will be on the left side of Sayles
  • The only people who can enter the line are people whose number is within 6 numbers of the number being called
  • People will pick their room, receive a receipt, and exit the back exit of Sayles onto Lincoln Field
    • if they wish to re-enter Sayles, then they must walk around the building and enter at the front of the hall
  • Only one person per group will be in line
  • ResCouncil members will be stationed along the pathway that people will travel to answer any questions people may have at any point in the process
  • Unidirectional traffic is key!
  • Bearpaws, numbered 1 through 6, will be placed along the line on the left side of the hall - therefore, students will know exactly where to stand
  • There will be 3 aisles to reach the seating area

Assigned Tasks:

  • Behind floor plan tables: Adam, Chaz, and Courtney
  • Stationed inside the back of Sayles to answer questions: Jillian and EJ
  • Floaters looking for people who look confused and helping to direct traffic: Jane, Andrew, and Rachel
  • At the entry point to the line to actually pick rooms: Dean Forsberg
  • At the front of the lottery line, next to the person who will be picking next: Jerry
  • Calling numbers: Ben
  • Running computer: James and Greg
  • Giving receipts and answering any questions people may have after picking: Sophie and Sara
  • Stationed at the front of the seating area, maintaining the distinction between the seating area and the people who have just picked rooms: Mark and Rich Hilton
  • Monitoring the lottery as students choose rooms: Jenna Sousa and Maria Duarte
  • Assisting with crowd control: Graduate Advising Fellows

General notes to ResCouncil Members:

  • We need to get to North Wayland between 430 and 5 (pizza will be served beginning at 430)
  • We will head over to Sayles around 5 or 515
    • Media services wants to begin testing the equipment at 5
  • Look for people who look concerned or stressed and help to calm them down by answering questions (especially on night 2!!)
  • Thursday night we are calling numbers 1-488
  • Monday night we will begin at 489
  • We have guaranteed that we will not call more than 100 numbers every half hour
  • There will be a big map outlining the flow of traffic and the logistics of the lottery so that people will know where to walk
  • Students who will receive housing via the Summer Assignment Process will be placed in semester level appropriate housing
  • A review of Gender Neutral dorms: New Pembrooke 1 and 2, Caswell, Marcy, and anywhere with locked doors between rooms (Grad Center, Barbour, Vartan Gregorian, etc.)
