Why does Brown need an ITPRC?

  • There may be opportunities for collaborative efforts.
  • There may be opportunities for cost savings.  Projects may not be taking advantage of existing Brown assets, contracts or services.
  • Some proposed projects might have negative impact on other projects or on University services.
  • Some projects may need additional funding.
  • Some proposed projects may need to move to the head of the queue.

What kind of projects need to come through ITPRC?

  • The project has broad impact across Brown.
  • The project is large (>$50,000 or 4 person months of effort).
  • The project needs additional funding.
  • The project requires involvement of other organizations (e.g. CIS, CCV, Library IT, etc).
  • The project is a new system for Brown University (even if internally developed or purchased).
  • The application or system being proposed increases Brown’s business risk. Some examples of this are storing sensitive information on-line, moving critical functions to a computer-based system, or potentially not having adequate vendor or Brown staff support.
  • The project may impact Brown’s IT architecture or infrastructure by introducing significant new technology on campus or installing applications or systems that may strain networking, data storage, or other centrally supported services.
  • The office or department with a proposed system wishes to have a technical or business review of the plan.

What are the steps to submitting a proposal and getting an approval?

  • An ITPRC review is usually initiated by submission of the first of a two-part proposal.
  • Phase 1 – Project Evaluation Request - asks the requester to describe the project, its business case, and possible funding. An approval from ITPRC at this stage authorizes work with CIS assistance to explore possible solutions and develop a more detailed recommendation.
  • Phase 2 – Project Proposal Submission - is a more detailed proposal document submitted to the ITPRC. If approval is granted, then the project is authorized for implementation subject to any conditions identified during the review process.
