Publishing Guidelines for the Brown University Events Calendar

What can be submitted?

Only events that are sponsored by, hosted by, or held in collaboration with a Brown University office, department, unit, school, or student organization can be posted. If you have questions about this policy, please contact web_service@brown.edu.

Do not submit an event until you have reserved a room/venue. The calendar is not a room-reservation system.

Room reservations are coordinated by several offices:

  • To reserve a space for use between 8 a.m. and 6 pm. Mondays through Fridays during the academic year, contact the Registrar's Office, 863-2500

  • To reserve a space for use between 6 p.m. and 8 a.m. Mondays through Fridays, or on Saturdays or Sundays at any time, during the academic year, contact Public Events and University Relations at 863-2108

  • During the summer, contact Summer Studies to reserve a classroom (863-7900) and Conference Servies to reserve an auditorium (863-7500).

  • To reserve Petterutti Lounge, Leung Gallery or the Haffenreffer, contact Student Activities Office (863-2341).

To submit an event

To submit an event for all but the "other student event" calendar, click on the tab marked "add event." A form will appear on the screen.

Fill in the fields, paying particular attention to the required fields.

The description field should include as much of the following as is appropriate:

  • Title of Event *
  • Sponsoring group if relevant
  • Description of Event *
  • Event Location
  • Audience
  • Cost
  • RSVP - contact name and information
  • Contact name for further information or questions.
  • Event Web Address

* Please do not use all caps in the event title or descriptions.

Each calendar has its own administrator. Each administrator has the authority to approve or reject submissions to the calendar at his/her discretion.

Who can submit?

All officially recognized Brown University organizations (schools, departments, units, centers, institutes, etc.) are encouraged to use the calendar.

If your organization regularly has many events and posts frequently, you may be given direct publishing access. To do this, contact web_service@brown.edu, who will issue your organization a unique username and password along with instructions on how to post or submit events.

All student organizations wishing to contribute to the Brown Events Calendar must be registered with the Student Activities Office.

When using the form to Submit an Event, an email will be sent to the calendar administrator alerting him or her to the event submission. These events are not published to the calendar until they are approved by the appropriate calendar administrator.
