Note Taker Instructions

Message to students volunteering to be a note taker:
Please make sure to upload or scan notes as soon as possible after each class (within 48 hours).  Notes must be uploaded or scanned promptly prior to all exams and finals.

Logging into SEAS Online:

Register to be a Note Taker:

  • Bookmark this URL to access this portal when needed.
  • At the SEAS Online portal, click on the Note-takers link.
  • There will be a Shibboleth authentication step to log in and then you will see a screen with a menu along the top.
  • Click on the gray Courses / Notes link at the top of the page to begin the registration process.
  • Follow the steps to register, agree to terms and indicate courses.
  • Once registered you should see a list of your classes where notes have been requested.
  • Click on the class(es) that you are volunteering for and follow the steps to complete the information to volunteer to be a note-taker.
  • You will receive an email once assigned as the note taker.

Note Taking Responsibilities

  • Make sure to provide notes after each class and no later than 48 hours after the class.
  • Make sure the date and course designation (CLPS 1234) appear on each page of the notes.
  • DO NOT take and upload cell phone pictures of notes as these are difficult to read.
  • If you miss a class, make sure to get notes from a classmate and upload them.
  • If you will be scanning handwritten notes, please make sure to come to SEAS 20 Benevolent St as soon as possible to learn how to scan notes.
  • SEAS staff will upload notes scanned at SEAS.
  • Notes must be provided no later than 48 hours after each class.

Once Approved to be a Note Taker
There are Two Options to Provide Notes:

1- Upload Electronic Lecture Notes
(Word, PDF, or PowerPoint):

FYI: If you hand-write notes but have access to a scanner and can make PDF scans of your notes on your own, you can do so to save trips to SEAS. You would then follow the steps for electronic notes below.

Skip these next steps if scanning handwritten notes at SEAS. See next section for instructions on scanning notes at SEAS.

  • Make sure to provide notes after each class and no later than 48 hours after the class.
  • Once you have been assigned as the note taker, click Upload lecture notes.
  • In the Upload lecture notes tab, select the correct notes date.
  • Please use the following format for the file names: course name - section - date  (ex. ECON0110-s01-09-01-14). 
  • Browse to the recent class notes file you are providing.
  • Select the applicable notes file and click Open to set them for upload.
  • Add any comments as needed.
  • Click Submit to provide notes or click Back to courses to start over.
  • If you submit notes, it will provide another screen to upload more notes.
  • Click on the View Uploaded Notes tab to see previously provided notes files.
  • Click View Notes to download previously submitted notes files
  • If no other notes are to be uploaded at that time, click Back to courses to view the course list or the Course/Notes view.
  • Click Logout to exit the SEAS Online notes portal.

2- Scanning Notes at SEAS:

  • After volunteering online to be a note taker using the above instructions after each class and during SEAS office hours visit SEAS and use the copier/scanner located in the hallway at SEAS to scan your notes to a PDF format.  
  • Please use the following format for the file names:
    course name - section- date  (ex. ECON0110-s01-09-01-14). 
  • Follow the instructions at the copier/scanner to scan your handwritten notes. The scanner will email the file to SEAS-notes@brown.edu for SEAS staff to upload to the SEAS Online notes portal.
  • Notes must be provided no later than 48 hours after each class.
  • After scanning notes at SEAS, no further steps are needed.
    SEAS staff will upload the notes to SEAS Online.
  • Please ask any SEAS staff for assistance at any time.

SEAS is located at 20 Benevolent St. (opposite Keeney Quad). Use side entrance by large ramp. SEAS is open weekdays from 8:30am to 5pm. Summer hours 8am-4pm weekdays. We are glad to help.
