Dear Animal Researcher:

The time has come! Starting in mid-June, all animal use protocols will begin to transition into Brown's new electronic protocol submission system, InfoEd.  Please take a moment to read the important information below.

1. Data Migration Schedule & System Go-live date

The InfoEd Laboratory Animals module will be live on July 16, 2018.  Coeus will be phased out thereafter, and will be the legacy system of record for closed protocols. Beginning on June 15th, we will start migrating active protocols from Coeus to InfoEd.  

  • June 15-July 13:  Migration of Active Protocols
     
    • Active protocols will be migrated from Coeus to InfoEd
       
      • Principal Investigator, Delegate, and Lab Manager(s) will be notified when protocol record(s) is migrated
      • After the protocol record is migrated, all future protocol actions (administrative changes, amendments, or continuations) must be done in InfoEd
         
    • All new protocols initiated during this time period must be created in InfoEd
  • Starting July 15: InfoEd Lab Animals Module will be Live
     
    • All protocol activity will be processed in InfoEd. 

 

2. Lab Animal Protocol Migration Process (IMPORTANT)

  • We encourage anyone working directly on active Lab Animal protocols in Coeus to schedule time to transfer your active protocol record(s) into InfoEd between June 15-July 13. There is a computer lab with four workstations set up in South Street Landing (Room 538) available during this time period period to assist with this transition. There will also be support staff on-site during these data conversion sessions to provide hands-on assistance. If you will be migrating your protocol during this time period, you must request your session time(s) here
  • If you are unable to convert your own records during this time, ARPP will be migrating your protocol(s). You will be notified via email when this conversion begins, and you will be required to fully review your converted protocol record(s) in InfoEd before it can be finalized by the ARPP. It is very important to know that the new InfoEd system and e-forms have been designed withsignificant administrative burden reduction in mind (i.e., entire sections that are currently required in the Animal Use Protocol form have been eliminated). As such, the transfer of data will not be a one-to-one match, which is why it is critical that you carefully review your converted protocol.

3. Lab Animal Module Informational Sessions

We have scheduled five sessions in the next couple of weeks to provide a basic overview / demo of the new InfoEd protocol forms to the research community - please feel free to just show up to any one of these sessions:

Monday, June 4th           2-4 pm      South Street Landing, Room 445

Tuesday, June 5th          2-4 pm      South Street Landing, Room 445

Wednesday, June 6th    2-4 pm       South Street Landing, Room 445

Thursday, June 7th        2-4 pm       South Street Landing, Room 493

Monday, June 11th        2-4 pm       South Street Landing, Room 493

 

If none of these sessions work with your schedule, you may contact the ARPP to schedule alternate times/dates. 

4. Training on the InfoEd System

  • While many in the end user testing group last summer found the InfoEd system to be intuitive, once the system is live, the ARPP team will be available to assist you with navigating the new system. Please send us an email or give us a call. We are also creating an FAQ page on our website, written documentation on how to use the InfoEd system, and online video tutorials.  We will be sending additional information on these soon.
