2023-2024 Annual Performance Evalutaion Process

The period in which performance is being measured is from April 1, 2022-March 31, 2024.

  • March 19, 2024 - Evaluations Launched in Workday

  • April 26, 2024 - Evaluations due to BioMed HR
     

Employee retention continues to be crucial, and retaining our great employees is at the forefront of our minds. Part of our retention strategies is to provide our employees with timely and valuable feedback so they can continue to perform at high levels and grow. We highly encourage managers to meet with each staff member one-on-one to facilitate this critical dialogue.

Please remember the following important information as you prepare for this year's evaluation process.

  • Reviews must be completed for all active employees hired before April 1, 2024, except seasonal/intermittent employees. Annual reviews are not automatically delivered for seasonal/intermittent staff; however, you may request that forms be launched from BioMed HR if you wish to evaluate them.

  • All ratings need to have a supporting comment, and tangible accomplishments and successes must support Exceptional ratings. Evaluations not meeting this requirement will be returned for completion.

  • The performance evaluation process for FY24 will utilize the same four-point performance rating scale (Exceptional, Highly Effective, Effective, and Needs Improvement). You may read more about the ratings in the Performance Rating Guide.

  • It is essential to provide employees with honest, candid feedback regarding strong competencies and opportunities for further development. 

  • Performance ratings will not be tied to eligibility for the Division bonus program. 

  • A self-directed online module titled Performance Management Toolkit for Managers and the employee's job description are available when considering their work performance. 

  • Although not mandatory, we encourage employees to complete a Self-Appraisal to help them prepare for the performance discussion with supervisors. This is a beneficial tool to help employees capture the years' accomplishments, challenges, and successes. Self-appraisals are completed in Workday and can be forwarded to the supervisor or kept as a reference document for the employee.

Additional information is included on the Annual Staff Evaluation page on the UHR website. All reviews will be automatically routed to BioMed HR once the manager "submits" in Workday after BioMed HR reviews the evaluation routes to Employee & Labor Relations (ELR). Upon their review and approval, the evaluation will be routed directly to the employee; managers will receive a Workday notification of the employee's review if the employee comments on the appraisal. The Staff Performance Routing Process in Workday visualizes the performance routing. Managers will receive Workday notifications showing exactly where the evaluation sits. 

Staff members will first see their reviews in Workday once they have been approved by Employee & Labor Relations. As their manager, you will simultaneously receive a Workday notification informing you that the appraisal has been approved and is now visible to the employee for acknowledgment. After the staff member acknowledges the appraisal (with or without comments) and the review is finalized, you both are able to view the form in Workday on the Performance tab of the worker profile. 

 

Upcoming Salary Merit Process

The Division will communicate specific details for the merit process, which coincides with the performance process, in the coming weeks. As you know, the performance rating is required before submitting merit recommendations.

  • April 4, 2024 - Merit process launched in Workday

  • May 13, 2024 - Merit increases due to BioMed HR

  • June 7, 2024 - Merit Coordinators receive confirmation of increases

  • June 10, 2024 - Managers receive notification to run reports and communicate increases to employees

  • June 21, 2024 - Merit statements delivered to employees in Workday

  • July 1, 2024 - Merit increases effective date
