FAQ Learning Google Calendar Integration

On September 19, 2023, Workday Learning started generating automated email messages and Google calendar invitations for virtual and in-person instructor-led sessions after enrolling. Participants now receive a confirmation email upon registration, along with a Google Calendar invite that includes details such as the course offering date, time, location, or link for attending the session.

What email address will be used for the enrollment confirmation?

The enrollment confirmation will be generated from [email protected] and this address will also be listed as the organizer on the calendar invitation a participant receives after enrolling in a course. Note: This email address does not receive responses and should not be used to communicate questions or issues about a course or session.

Who should I contact if I have questions about course or session content?

Questions about course-related content should be directed to the course contact for your respective registration. This information can be found on each course screen in Workday Learning.

I enrolled in a course and I did not immediately receive a notification and calendar invite.

Email notifications and calendar invitations are not immediate and will be sent within 15 minutes of course enrollment.

Will I receive an email if I register for an in-person or virtual course?

Yes, you will receive an email and Google calendar invitation for both in-person and virtual instructor-led offerings. You will not receive an email or invitation for media-based sessions (self-directed e-learning courses, job aids, videos, etc.)

If the instructor updates the course offering details will my invitation be updated?

Yes, course offering changes such as date, time and location will update your calendar invitation. Though your calendar invitation will be updated you will not receive an email notification when course details change. 

Will I receive an email and calendar update if a course is canceled?

Yes, if a course is canceled you will receive an email notification and the invitation will be removed from your calendar.

If I drop a course or receive help from my Learning Coordinator to drop a course offering will the calendar invitation I received after enrolling be updated?

Yes, if you drop a course offering after enrolling your calendar will be updated to remove the invitation.

Who do I contact if I have questions?

Please enter a Workday Help Ticket under the heading of Workday Learning with questions regarding the Google Calendar integration.

My calendar invite keeps reverting back to unaccepted after I have already taken action (approve, decline) on it. Why?

This happens anytime a change or update is made to the course. This may include an updated Zoom link, time, date, or description. Please re-accept or re-decline the invite to secure the event on your calendar.

I keep receiving a bounceback email from Google Calendar when I take action (accept, decline) on an invite for a Workday Learning training session. I am not replying to the email so what is happening?

You will receive an email from [email protected] upon accepting or declining an invite from Workday Learning as a way to inform you that the email address is not monitored and does not accept responses.
